This policy explains how Clientbase Media Ltd collects, uses and protects personal information when you visit our website, use our TikTok Shop Growth Calculator, book a call, or work with us. It also explains how we use cookies and the choices you have.

1. Who we are

Clientbase Media Ltd ("Clientbase Media", "we", "us") is a company registered in England and Wales under company number 11080848. Our registered office is 20-22 Wenlock Road, London, England, N1 7GU.

We are the controller of the personal information described in this policy. If you have any questions, contact us at hello@clientbasemedia.co.uk.

2. Information we collect

Information you give us

  • Enquiries and bookings: your name, business email address, company name, phone number and anything you tell us when you book a call through our Google Calendar booking page or contact us by email.
  • Client relationship: contact details of people at client businesses, meeting notes, and information needed to deliver and invoice our services.

The Growth Calculator

The numbers you enter into the calculator are processed in your own browser. They are not sent to us or stored on our servers. If you export your results, the file is created on your device. We save your currency choice and whether you dismissed our call-to-action message in your browser's local storage so the calculator remembers them.

Information collected automatically

With your consent, we and our partners use cookies and similar technologies to collect information such as your IP address, device and browser type, pages viewed, how you arrived at our site, and how you interact with it. See section 4.

Information from other sources

  • Business contact information: for business-to-business outreach, we may collect work contact details from publicly available sources such as company websites, LinkedIn and public company registers.
  • Advertising and analytics platforms: we receive reports from platforms such as Google, Microsoft, Meta, TikTok and LinkedIn. These are usually aggregated and do not identify you directly.

Email tracking

Our marketing and outreach emails may contain small tracking images or tracked links that tell us whether an email was opened and which links were clicked. You can prevent this by turning off automatic image loading in your email client, or by asking us to stop contacting you.

You can accept, reject or customise them in our cookie banner, and change your mind at any time using , which also appears in the footer of every page.

If your browser sends a Global Privacy Control (GPC) signal, we treat it as a request to opt out of advertising cookies.

We use Google Tag Manager to manage the analytics and advertising tools listed below. Tag Manager is only loaded after you accept analytics or advertising cookies, and it uses Google Consent Mode so each tool respects the choices you make.

Third-party services on our pages

  • Booking calendar: when you open our booking window, the page is provided by Google Calendar. Google may set its own cookies and processes the details you enter under its privacy policy.
  • Fonts and code libraries: our pages load fonts from Google Fonts and animation code from cdnjs (Cloudflare). These services receive your IP address so they can deliver the files, but we do not use them to track you.

You can also block or delete cookies in your browser settings. Blocking strictly necessary storage may stop parts of the site from working.

5. Who we share information with

We do not sell personal information for money. We share it only where needed with:

  • Service providers who act on our behalf, such as Google (email, calendar and booking, analytics and advertising), Microsoft (Clarity), our website hosting provider and our email and customer relationship tools.
  • Advertising platforms (Google, Meta, TikTok and LinkedIn) when you have consented to advertising cookies.
  • Professional advisers such as accountants, lawyers and insurers.
  • Authorities where we are legally required to, or to protect our rights.
  • A buyer or successor if our business is sold or restructured.

6. International transfers

Some of our providers are based in, or process data in, the United States and other countries outside the UK. Where this happens, we make sure appropriate safeguards are in place, such as the UK Extension to the EU-US Data Privacy Framework or the UK International Data Transfer Agreement or Addendum.

7. How long we keep information

  • Enquiries and bookings that do not lead to work: up to 24 months after our last contact.
  • Client records: for the length of our relationship and up to 6 years afterwards, for legal, tax and accounting purposes.
  • Marketing and outreach: until you object or opt out. We keep a minimal record of your opt-out so we do not contact you again.
  • Analytics data: as set in each tool, for example up to 14 months in Google Analytics.

8. Your rights (UK and EEA)

You have the right to:

  • access the personal information we hold about you;
  • have inaccurate information corrected;
  • have your information erased in certain circumstances;
  • restrict or object to how we use it, including an absolute right to object to direct marketing;
  • receive your information in a portable format in certain circumstances;
  • withdraw consent at any time, without affecting earlier use.

To use these rights, email hello@clientbasemedia.co.uk. We will respond within 1 month. You also have the right to complain to the Information Commissioner's Office (ICO) at ico.org.uk or on 0303 123 1113, though we would appreciate the chance to resolve your concern first.

9. Your rights (US residents)

Depending on where you live, including California, Colorado, Connecticut, Virginia, Texas, Oregon and other US states with privacy laws, you may have the right to:

  • know what personal information we collect, use and disclose, and access a copy of it;
  • correct or delete it;
  • opt out of the "sale" or "sharing" of personal information, or its use for targeted advertising;
  • not be treated differently for using these rights.

Categories we collect: identifiers (such as name, email and IP address), professional information (such as job title and company), and internet activity (such as pages viewed). We do not collect sensitive personal information for the purpose of inferring characteristics about you.

Sale and sharing: we do not sell personal information for money. However, if you accept advertising cookies, the use of advertising pixels may count as "sharing" or "targeted advertising" under some state laws. You can opt out at any time through or by using a Global Privacy Control signal, which we honour.

To make a request, email hello@clientbasemedia.co.uk. We will need to verify your identity before responding, and you may use an authorised agent. If we decline your request, you can appeal by replying to our decision.

10. Children, security, links and changes

Children: our website and services are for businesses and are not directed at children under 16. We do not knowingly collect their information.

Security: we use appropriate technical and organisational measures to protect personal information, including access controls and reputable service providers. No method of transmission over the internet is completely secure.

Other websites: our site links to other websites, such as Google Calendar. Their privacy practices are their own responsibility.

Changes: we may update this policy from time to time. The date at the top shows when it was last changed.
